Overview

- Reply fast. Speed of response is the single biggest driver of buyer trust.
- Be polite, always. Even when the buyer isn't.

- Greet by name. "Hi Chinelo, thanks for your order!"
- Confirm what they've ordered. The auto order-summary message helps but a quick recap doesn't hurt.
- Share a shipping ETA so they're not left guessing.
- Update them proactively if anything shifts (delay, courier change, back-in-stock).
- Thank them at the end.
Handling problems
- Read carefully. Don't jump to a canned reply.
- Acknowledge the issue. "I'm sorry to hear that — let me look into it."
- Ask for what you need. Photos, order details.
- Offer a solution — refund, replacement, partial refund, whichever fits.
- Deliver on the fix. Don't promise and disappear.
- Follow up after the fix to make sure they're happy.
Difficult customers
- Stay calm. Match their tone with your own composure, not their temperature.
- Keep it in-app. Don't move off-platform where the record is lost.

- Know when to say no. A refund isn't always the answer. Be fair, be firm.
Post-sale
- Ask for a review politely a day or two after delivery.
- Send a thank-you — brief, personal.

- Chat during set hours if you can't be always-on — buyers respect predictable availability.
